How Theo handles a call

Theo is an AI voice agent that answers your inbound calls and holds a real spoken conversation with the person on the other end. It is trained on your business, it resolves what it can, and it escalates to your team when it cannot. Theo opens to a small group of beta customers later this year.

How a call works

Five steps, in the order they happen, from the moment your line rings to the moment the call is on the record.

  1. 01

    The phone rings

A customer dials your business number the way they always have. Nothing changes for them, and nothing changes about the number you already advertise.

  2. 02

    Theo picks up

Pickup takes 0.74 seconds on average, measured on our own instrumented calls. The caller reaches a voice straight away rather than hold music, a queue, or voicemail.

    0.74s average pickup latency

  3. 03

Theo works out what they need

Theo is trained on the individual business: your services, your hours, your pricing, the questions you get asked every week. The caller explains the problem in their own words, in a normal spoken conversation.

  4. 04

It resolves the call, or hands it over

Theo answers what it can answer. When a call needs a person, it escalates to your team and the full call context is transferred with it.

  5. 05

    The call is written up

Calls are transcribed, so you can read back what callers actually asked for instead of reconstructing it from a missed call log.

Nights, weekends and holidays run the same sequence. There is no separate after-hours version of Theo that behaves differently.

What it handles

Four things define how Theo behaves on every call it takes.

Picks up in under a second.

While your competitors are putting customers on hold, Theo is already three exchanges deep into the conversation.

Trained on your business.

Theo learns your services, your hours, your pricing, your common questions. Not generic answers. Your answers.

Knows when to escalate.

Theo solves what it can and hands off what it cannot, with the full call context transferred to your team.

Always on.

Nights, weekends, holidays. Same response. Same quality. No staffing, no overflow lines, no voicemail.

What happens when it cannot help

An AI that will not admit its limits is worse than a voicemail box. Theo is built to hand a call over cleanly, and here is exactly what that means.

Theo hands the call to a person

When a call goes past what Theo can resolve, it does not keep the caller circling. It escalates to your team.

The context goes with the call

Your team picks up with the conversation so far already transferred, so the caller does not have to start again from the top.

The transcript exists either way

Escalated calls are transcribed like every other call, so you can see what was asked before the handoff and why it happened.

Planned, not yet available

Some of what we want Theo to do is still being built. Per business knowledge base ingestion, caller memory across separate calls, and the business dashboard for call history, analytics and configuration are on the roadmap rather than in your hands today. We publish where each of those stands on the roadmap.

Theo opens to beta customers later this year

We are opening Theo to a small group of service businesses. Join the waitlist for a slot, or call the demo line first and hear how Theo handles a call before you decide.

That number is a demo line running a test version of Theo, not a live business. It is there so you can hear the product rather than read about it.
